This Privacy Policy explains what personal information we collect, how we use it, who we share it with and the rights you have. It applies to candidates, clients, referees and visitors to this website.

For the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, the data controller is PALS Management Group Ltd (trading as PALS Recruitment), a company registered in England and Wales under company number 15068683. We are registered with the Information Commissioner’s Office (ICO) under registration reference ICO:00014653993.

The information we collect

Depending on your relationship with us, we may collect:

  • If you are a candidate: your name, contact details, CV or résumé, employment history, qualifications, references, right-to-work and identity documents, salary expectations, availability, and any other information you choose to share with us as part of the placement process.
  • Sensitive information: where relevant to a role and only where lawful, we may process special category data (such as health information relevant to workplace adjustments) or details of background checks. We only do so with an appropriate lawful basis and, where required, your explicit consent.
  • If you are a client: your name, job title, business contact details and information about the roles and staffing requirements you ask us to fulfil.
  • If you visit our website: limited technical information such as your IP address, browser type and how you use the site, collected through essential and, where enabled, analytics cookies (see our Cookie Policy).

How we collect your information

We collect information directly from you - when you submit an enquiry, send us your CV, or speak with one of our consultants. We may also receive information from trusted referrals, from referees you nominate, and from publicly available professional sources such as LinkedIn.

How and why we use your information

We use your personal information to provide our recruitment services - matching candidates to suitable roles, introducing candidates to clients, arranging interviews, and managing placements. We rely on the following lawful bases:

  • Legitimate interests - to operate our recruitment business, match candidates with roles and stay in touch with our professional network, in a way that is not overridden by your rights.
  • Consent - where we rely on your consent, for example to share your details with a specific client or to process sensitive information. You may withdraw consent at any time.
  • Contract - to take steps at your request before entering into, and to perform, an agreement with you.
  • Legal obligation - to comply with our legal and regulatory duties, such as confirming a candidate’s right to work.

Confidentiality and discretion

Discretion is the foundation of our work. We do not disclose that a particular individual is a candidate, or that a particular client is hiring, without a clear reason and the appropriate permission. Where a client or candidate requests it, we operate under a signed confidentiality agreement (NDA), and our staff are bound by strict internal confidentiality obligations.

Who we share your information with

We share your information only where necessary, and we never sell it. We may share it with:

  • Clients - a candidate’s details are only ever shared with a prospective employer with the candidate’s knowledge and agreement.
  • Service providers - trusted third parties who help us run our business (for example IT, hosting and email providers), under contracts that require them to protect your information.
  • Professional and legal advisers, and authorities - where we are required to do so by law, or to establish, exercise or defend legal claims.

International transfers

Because we place staff in the United Kingdom, the United States and elsewhere, your information may be transferred outside the UK - for example when we introduce a UK-based candidate to a client in Los Angeles or New York. Where we do so, we take steps to ensure your information is protected by an appropriate safeguard, such as an adequacy decision or standard contractual clauses.

How long we keep your information

We keep candidate and client information for as long as necessary to provide our services and maintain our professional relationship with you, and thereafter only for as long as we have a legitimate reason or legal obligation to do so. When information is no longer needed, we securely delete or anonymise it. You may ask us to remove your details from our records at any time.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to erase your information, or restrict how we use it;
  • object to our processing, including for direct marketing;
  • ask us to transfer your information to another organisation; and
  • withdraw your consent at any time where we rely on it.

Keeping your information secure

We use appropriate technical and organisational measures to protect your information against unauthorised access, loss or misuse, and we regularly review how we hold and handle personal data.

Children

Our services and this website are intended for adults. We do not knowingly collect information from anyone under the age of 18.

We may update this policy from time to time. The date at the top of this page shows when it was last revised. Where changes are significant, we will take reasonable steps to bring them to your attention.
